Administration Assistant (Casual)

The Role
This position supports the day-to-day administration of ALY’S PLACE one day per week, with occasional additional hours by agreement.
You will play an important role in ensuring clients feel welcomed, supported, and confident in our systems, while helping the practice operate efficiently and consistently.
You’ll be working alongside a supportive counselling team with strong cross-referral potential, making this a fantastic opportunity to operate in a collaborative setting.
The Role
Available immediately, the room is ideally suited to Allied Health practitioners - occupational therapists, osteopaths, dietitians, mayo/physiotherapists, chiropractors, or other allied health professionals.
Key Responsibilities
✔ Monitor and respond to website, phone, and email enquiries
✔ Manage client communications and appointment bookings
✔ Coordinate intake documentation and follow-ups
✔ Process payments and assist with invoicing
✔ Maintain confidential client records (Halaxy practice management system)
✔ Work closely with the Counsellors and Practice Manager to ensure consistent processes
✔ Maintain a calm, tidy, and welcoming clinic environment
Retail Support
ALY’S PLACE includes a small self-care-focused retail space. Responsibilities include:

Welcoming and assisting clients in the retail area

Processing retail sales
-
Maintaining presentation of products and space
ABOUT YOU
We are looking for someone who is:

Highly organised with strong attention to detail

Clear, warm, and professional in communication

Proactive, with a “thinking ahead” approach

Client-focused, aiming to make processes seamless

Comfortable working independently and taking initiative

Respectful of confidentiality within a counselling setting

Proficient with email, Word, Excel, and PowerPoint
-
Willing to learn and use Halaxy (experience desirable but not essential)
Previous administration or allied health reception experience is highly regarded, though training will be provided for the right candidate.
